Zapier alternatives when per-task billing gets expensive
Zapier bills every successful action step as a task. A workflow with five actions that runs 300 times a month uses 1,500 tasks, and the bill follows. This page covers what to do when that happens: first the cheaper fixes inside Zapier, then the two alternatives worth comparing.

Why does a Zapier bill grow so fast?
Because every successful action step in every run counts as one task, so the bill multiplies steps by runs. Triggers, filters and paths do not count; everything that acts does.
A busy lead workflow is the usual culprit: several actions per enquiry, run on every enquiry, every month.

Can you cut Zapier costs without leaving Zapier?
Often, yes. Put a filter near the start of each Zap so runs that should not continue stop before any action is billed, since filters and paths use no tasks. Then check which Zaps run most often and whether every action in them is still needed.
If the bill still outgrows what the workflows are worth after that, the cause is the billing model itself, and an alternative is worth pricing.

What are the main alternatives to Zapier?
For a small service business, the two worth comparing are Make and n8n. Make bills credits, one per operation by default, at a lower entry price; n8n Cloud bills per complete workflow run regardless of step count; and self-hosted n8n has no usage charge at all.

Is self-hosting really free?
The software is free to self-host; running it is not. You pay for a server and for someone to keep it updated, backed up and monitored.
For a business with high volume that cost can be well below per-task pricing. For a business with a few simple Zaps it is not worth it, and Zapier remains the better tool.

How do you switch away from Zapier safely?
Rebuild one workflow at a time and run the old and new side by side on real data until they match, then turn the Zap off. Nothing is switched off until its replacement has proved itself.
That is how I run a migration, and it is why a switch does not need a risky cut-over weekend.
